CODBrain
Module 022-part tutorial

Orders

Every COD order in one filterable table with the full lifecycle. Import from Shopify, YouCan, WooCommerce, or manual entry; confirm by phone; assign to a carrier; watch it move through the delivery states; recover the ones going wrong. This is where 80% of your operational time will be spent — CODBrain's job is to make each interaction ten seconds instead of ten minutes.

What this module does

  • Aggregates orders from every connected store (Shopify, YouCan, WooCommerce, custom landing forms) into a single tenant-scoped table.
  • Runs each order through a defined lifecycle: new → confirmed → processing → shipped → out for delivery → delivered → paid (or returned / cancelled).
  • Handles bulk push to your delivery company + automated status sync via webhooks.
  • Surfaces high-risk orders (bad phone, wrong city, repeat returner) so you can catch RTO before it costs you.
  • Tracks every state change with a full audit trail — who did what, when, and why.
  • Supports partial refunds, exchanges, and re-deliveries without breaking the order's history.

Key features

Kanban + table views — pick the surface that matches how you think.
One-click "Send to courier" with carrier auto-selection based on your Delivery Rules.
Bulk push (up to 30 orders per action) — end of day dispatch in one click.
Full-text search across customer name, phone, product, ref, address — everything.
Status-transition history per order — who did what, when, why.
AI-scored RTO risk badge — flags orders likely to bounce before you dispatch them.
Duplicate detection — same customer + same product within 48h auto-flags for merger review.
Quick-view side panel — see everything without leaving the list.
Inline notes + tags for internal team communication.
Custom filters saved per user (My delivered today, RTO risk > 60%, etc.).
CSV export scoped to the current filter for accounting or offline analysis.
Manual order creation with product picker, address autocomplete, and duplicate-guard.

How this changes your business

15–30% lower RTO

Merchants who use structured phone confirmation before dispatch see documented 15–30 percentage point drops in return-to-origin rates versus "ship on order".

5× faster dispatch

Bulk pushing 30 orders to your carrier in one click vs. re-typing each one into their portal — this alone saves a working day per week at 200 orders/day.

~40% of MENA COD

Industry reports place average RTO in the region at 25–40% of orders. Catching the risky 5% before you ship saves the carrier fee + the round-trip logistics on every one.

0 lost orders

Full lifecycle tracking with audit history means no order ever falls through the cracks. Every one has a clear status and a clear next action.

2 hours saved / day

Ops teams report saving ~2 hours per day from search + duplicate detection + inline editing vs. Excel-based workflows.

Getting started

  1. 1Connect at least one store (Settings → Stores) or use Custom Forms for landing-page orders.
  2. 2Configure your default delivery company in Delivery → Rules.
  3. 3Start the day in Orders — filter to "new" and confirm every one before 11am.
  4. 4Move confirmed orders to "processing" and bulk-push to your courier.
  5. 5Set the auto-sync webhook so statuses update themselves as parcels move.
  6. 6Review the RTO risk column daily — anything above 60% deserves a second phone call before shipping.
  7. 7Set up saved filters for your recurring workflows (today's deliveries, this week's returns, stuck-in-transit).
  8. 8Enable duplicate detection alerts to auto-flag same-customer, same-product orders within 48 h.

Common mistakes to avoid

  • Shipping every new order automatically. In MENA COD, a 5-minute call before ship cuts RTO by 20+ points.
  • Not using the RTO risk badge. It's trained on your OWN data — ignoring it means throwing away free intelligence.
  • Manual data entry instead of connecting the store. Every re-typed order is 3 minutes lost + a typo risk.
  • Bulk-pushing without checking city assignment. One misrouted city = 100 orders sent to the wrong carrier zone.

Advanced tips

  • Set auto-push on the "confirmed" status transition. Once you finish the call, the parcel is on its way — zero manual dispatch clicks.
  • Create a saved filter "RTO risk > 70% AND not yet shipped" and require a manager to green-light each one.
  • Use tags to segment orders by ad campaign, then measure per-tag delivery success in Analytics. That's your true campaign ROAS.
  • Enable the "delivered without a matching wire transfer" filter every Friday. Every match is money the carrier owes you.
Pro tip

Set the "confirmed" status as your auto-push trigger in Settings → Delivery providers. Then you never manually click "Send to courier" — the parcel goes the moment you finish the confirmation call. That single automation saves the average ops team 90 minutes per day.
